Thinking about how you can prepare for your team meetings?
It is necessary to always prepare for team meetings. As the popular saying by Benjamin Franklin goes "By failing to prepare, you are preparing to fail". Below are some tips to help you prepare for your team meetings:
- Understand the purpose of the Meeting:
A team meeting is not just a gathering. It should always be with a purpose and goal. Team meetings are set to review existing objectives or tasks, create new goals, or get feedback. While preparing for the meetings, you must ensure that you understand the motive behind the meeting and carry out the necessary research to equip yourself with the right knowledge needed for the contribution
- Create an agenda or prepare your contributions to each agenda:
If you are the one inviting your team to a meeting, you should create an agenda that carefully aligns the purpose of the meeting and the Area of Discussion that will take place during the meeting. However, if you are not the one initiating the meeting, while you may not need to come up with an agenda, you must go over the agenda, take note of the areas where your contributions are needed, and ensure to compile the necessary resources you may need.
- Set Alarm and Dress appropriately:
Regardless of where and when you are having your team meetings, you should always attend early with the appropriate clothing. You can set alarms and input meetings in your calendar or reminders, especially if it is a reoccurring team meeting. Dress professionally even if it is a virtual meeting, you never can tell if you need to turn on your camera.
- Check your gadgets before time:
Double-check your presentation tools or gadgets such as your laptops, tablets, phones, and projectors if you will be using them. If you will be attending virtually, ensure your camera and microphone are in good condition to be used for the meeting.
- Avoid Distraction:
Avoid going to your meetings with any form of distraction. You can put your phones on silent if you can not put them off. Find a more suitable spot free from noise or other distractions if you are attending the meeting from your house. This will help you listen attentively and take notes for future reference.
Remember to Send invites beforehand, and accept invites as soon as possible. If you will not be attending, make sure you send a decline message before the meeting stating your reasons.
