Executive Assistant to the CEO


Job Description

Responsibilities:

  • Efficiently manage an extremely active calendar of appointments and prioritize the CEO’s calendar
  • Manage a wide range of responsibilities with ahigh degree of professionalism and confidentiality.
  • Act as the primary point of contact forinternal and external stakeholders, managing and streamlining communications onbehalf of the CEO.
  • Prepareand organize meeting agendas, presentations, and reports for executivemeetings, board sessions, and other key events, ensuring the CEO iswell-prepared.
  • Support with logistics-related tasks and attendkey events within and also outside Lagos, when necessary.
  • Handle incoming communications (emails, calls,messages), filtering and prioritizing requests, and ensuring timely responses.
  • Draft, edit, and proofread documents, emails,and other communication materials on behalf of the CEO.
  • Perform work projects and job tasks as definedand directed by the CEO  
  • Assist in planning and coordinating specialprojects and company initiatives, ensuring project goals are met on time andaligning with small and medium enterprise’s priorities.
  • Liaise across teams, particularly withMarketing, Sales, Product, Engineering, and Operations, to facilitatecross-functional project progress and ensure alignment with company goals.
  • Conduct industry and market research tosupport strategic initiatives, helping the CEO make data-informed decisions.
  • Plan and coordinate logistics for companyevents, team off-sites, investor meetings, and other gatherings attended by theseCEOs, handling everything from vendor arrangements to schedule planning.
  • Take ownership of organizing both virtual andin-person meetings, including setting up conference calls, preparing materials,and tracking follow-up actions.
  • Handle sensitive information and documentswith the utmost confidentiality and integrity.
  • Assist with occasional personal tasks asneeded to support the CEO’s work-life balance.


Requirements:

  • Bachelor's degree/ HND in businesscommunications or a related field
  • Minimum of 4-5years of proven experience providing executive supportin a startup Technology or Confectionery Packaging Company or related company
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Expert-level written and verbalcommunication skills
  •  Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Proficiency in Microsoft Office Suite(Outlook, Word, Excel, PowerPoint), Google Workspace, and familiarity with projectmanagement tools (e.g., Asana, Trello).
  • Entrepreneurial mindset and a willingness totake on new challenges with a flexible, can-do attitude
  • Proactive, with a knack for identifyingchallenges and proposing solutions
  • Thrives in a dynamic startup environment withan ability to adjust to rapid changes.
  • Tech-Savvy Comfortable with technology and aquick learner when it comes to new tools and platforms.
  • Proven  ability  to handle confidential  information with discretion, be  adaptable  to  various competing demands, and demonstrate the highest level of customer/client service and response
  • Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment
